A trade is an exchange of shifts between two employees. iWorkWhen supports two kinds:
  • Swap — “You take my Wed, I’ll take your Thu.”
  • Give away — “Can anyone cover my Sat?” (no reciprocal shift)
Trades always go through three stages: pending, accepted, approved.

Create a trade

Start from the shift

Go to My Schedule, click the shift you want to give up, click Offer for trade.

Choose swap or give-away

Swap means you want someone else’s shift in return. Give-away means you’re just dropping it.

Pick a partner (or leave it open)

You can address the trade to a specific teammate, or leave it open for any eligible teammate to claim.

Add a note

Optional but recommended — say why.

Send

Your shift is now marked Trade pending. The target (or pool) gets a message and an email.

What happens next

  • While pending, you can Cancel the request any time.
  • When the teammate accepts, status becomes accepted — the shift is still yours until a supervisor signs off.
  • Once approved, the app swaps the user_ids on the two shifts (for a swap) or reassigns your shift (for a give-away). Both parties get a confirmation message.

Requests waiting on you

Trades other teammates offered to you specifically. Accept or decline from here.

Your requests

Trades you’ve sent. Cancel a pending one, or watch for the approval.

Tips

Open trades find faster partners

If you don’t care who covers, leave the partner blank. Anyone eligible sees it and can grab it.

Trades need supervisor sign-off

Even if both parties agree, the trade isn’t final until a supervisor approves. Expect ~1 business day.
